RPOS User Manual

A day-to-day guide to running your restaurant on RPOS — taking orders, running the kitchen screen, billing guests, and managing your menu, staff, and settings as an owner or admin.

RPOS User Manual

Getting started

1.1Your restaurant's web address

RPOS is one shared app that hosts many restaurants. Yours lives at a web address that includes your restaurant's short name (its “slug”), for example:

https://pos.buildersoft.ca/your-restaurant-name/

Bookmark this address, or install it like an app (see 1.4 below) so you never have to type it.

1.2Logging in

Open your restaurant's address and you'll land on the login screen. There are two ways to log in, and the screen shows one or the other — a button in the top-right corner switches between them:

  • Staff login (PIN) — tap your name from the grid of staff photos/initials, then enter your 4-digit PIN on the number pad. This is for Waiters, Cashiers and Kitchen staff, and also works for Admins. As soon as the 4th digit is entered, you're logged in automatically — no “submit” button needed. If the PIN is wrong, the screen shakes and clears so you can try again.
  • Admin login (email + password) — tap “Admin login” top-right, enter the email and password set up for the owner/admin account.

Where you land after logging in depends on your role:

1.3The top navigation bar

Across the top of every screen (except Kitchen, which is full-screen) you'll see:

  • Tabs for the screens your role can access — Admins see Floor, Kitchen, Billing and Admin; Cashiers see Billing and Floor; Waiters see only Floor. A number badge appears on the Kitchen tab when there are new tickets you haven't seen yet.
  • A connection indicator (small coloured dot) — green “Online”, grey “Connecting…”, or red “Can't reach the server”. See Working offline (1.5) if it stays red or grey.
  • A people icon — “Switch user”: logs you out and returns to the staff PIN screen, so the next person can tap their own name. Use this when handing the device to a colleague.
  • A logout icon — fully logs out to the Admin login screen.
  • A theme toggle for light/dark mode.

1.4Installing RPOS like an app

On a phone or tablet, your browser will offer to “Add to Home Screen” (Android/Chrome) or you can use the Share menu → “Add to Home Screen” (iPhone/Safari). This gives you an app icon that opens straight into your restaurant's RPOS, full-screen, without browser address bars — recommended for the Floor, Kitchen and Billing stations.

1.5Working offline

If the internet drops for a moment, RPOS tries to keep working on the Floor screen specifically:

  • A waiter can still tap a table, open it, and add items to the order — you'll see a banner: “Saved offline — will sync once back online.”
  • Once the connection returns, everything you did offline is sent to the server automatically — no action needed from you.
  • If someone else opened the same table on another device while you were both offline, RPOS sorts it out automatically if you hadn't added items yet; if you had, you'll get a message asking you to re-add those items by hand (this is rare — it only happens when two people open the same table at the exact same moment while both offline).
  • Other screens (Kitchen, Billing, Admin) need a live connection to work properly.

Floor — taking orders

For Waiters, Cashiers and Admins

2.1Reading the floor

The Floor screen shows your tables as coloured tiles, grouped by section (use the section tabs at the top, or “All”):

  • Free (lightest) — nobody seated.
  • Occupied — an order is open.
  • Bill requested — the table has asked for the bill (tap colour changes to flag this to cashiers).
  • Cleaning — just vacated; tap it once to mark it Free again.

Takeaway orders (no table) are listed separately below the floor grid.

2.2Opening a table / starting a takeaway

  • Tap a Free table to open a new order there.
  • Tap “New takeaway” (top-right) to start an order with no table.
  • Tapping an already-Occupied table takes you straight into that order.
  • Tapping a Cleaning table just frees it — it doesn't open an order.

2.3Building an order

On the order screen, tap items from the menu grid to add them to the cart on the right. Use:

  • The search box to find an item by name.
  • Category tabs across the top, including a “Top sellers” tab (star icon) for your most popular items.
  • Sold-out items are greyed out with a “Sold out” tag and can't be tapped.

2.4Add-ons and notes

  • If an item has add-ons (e.g. extra toppings, size), tapping it opens a sheet to choose them before it's added to the cart.
  • To add a note to something already in the cart (e.g. “no onions”), tap the cart line — you can pick a quick-note chip set up by your admin, or type a free-text note.
  • Use the + / − steppers on a cart line to change quantity.
  • Press and hold a cart line for about a second to remove it entirely.

2.5Sending to the kitchen

Tap “Send to kitchen” (bottom, paper-plane icon) once you've added items. This prints/sends the ticket to the right station (Kitchen or Bar, per item) and the items move from “New — not sent yet” into the sent list, where you'll see their live status update: Sent → Cooking → Ready → Served.

If your connection drops while sending, RPOS keeps retrying automatically in the background — you'll see “Sending… (retries automatically)” rather than losing the order.

2.6Editing a sent order, voiding items

  • You can keep adding new items to an order after sending — just repeat the process and send again.
  • To void an item that's already been sent (admins and cashiers only, by default), tap the void icon on that line, pick a reason, add details if needed, and confirm. Voided items are struck through and excluded from the bill.

2.7Moving a table / asking for the bill

Tap the “••• (More)” button for:

  • “Move to another table” — lists free tables to transfer a dine-in order to.
  • “Bill this order” — jumps straight to Billing (if you have billing permission).
  • “Ask for the bill” — if you can't bill directly, this flags the table as “Bill requested” so a cashier is notified.
  • “Clear unsent items” / “Cancel empty order” for mistakes.

RPOS User Manual

Kitchen display

For Kitchen staff and Admins. Designed to run full-screen on a tablet mounted in the kitchen.

3.1Kitchen vs Bar

A Kitchen / Bar switcher at the top lets one screen show either station's tickets; each side shows a count badge for tickets you haven't yet acknowledged.

3.2Reading a ticket

Each ticket card shows the KOT number, table (or “Takeaway”), the waiter's name, and how long ago it came in. Add-ons appear as “+ Name” under an item; any note is shown in red as “! Note”. A new ticket flashes and plays a sound (unless muted) until you tap it.

Tickets change colour the longer they wait, using the timings your admin sets in Settings (defaults: amber after 10 minutes, red after 20).

3.3Updating item status

Tap an item to cycle it: Sent → Cooking → Ready. Once an item is Ready, tapping does nothing further (it's done). Voided items show “VOIDED — do not make” and can't be tapped.

3.4Bumping a ticket / reprinting

At the bottom of each ticket:

  • “All ready” — bumps the whole ticket off the screen once everything on it is done.
  • The printer icon reprints that ticket to its station printer.

Other controls: a mute/unmute icon for the new-ticket chime, and a full-screen icon for mounted displays.

Billing

For Cashiers and Admins

4.1Opening your shift

The first time you reach Billing in a shift, you'll be asked to open it: either “Start with [your last closing amount]” or enter a different opening cash amount on the number pad, then “Open shift”. You can't take payments until a shift is open.

4.2Picking an order

The left-hand list shows every open order (table/takeaway, item count, time open, waiter, running subtotal). Tap one to review it on the right. If any items were added but never sent to the kitchen, you'll see a warning before billing.

4.3Discounts

Tap “More options” to apply a discount — quick-pick percentages (5/10/15/20%) or a custom rupee amount. If a discount is large (over 10% by default), you'll be asked to type a reason, which is recorded in the audit log.

4.4Creating the bill

Two buttons generate the bill:

  • “Bill” — creates the bill without taking payment yet (hands the guest a printed bill to review).
  • “Cash [amount]” — creates the bill and immediately marks it fully paid in cash, in one tap, for the common “pay cash and go” case.

4.5Taking payment

Once a bill exists and isn't fully paid, tap “Take payment”. The payment screen offers:

  • Cash — “Cash exact” for one tap, or quick buttons for Rs 500 / 1000 / 2000, or type any amount on the number pad; RPOS shows the change due.
  • Card, eSewa, Fonepay, Khalti — pick the method; QR methods ask for a transaction reference.
  • Credit — bills a customer's account instead of collecting cash now (see Customers & credit, 5.5); you'll pick which customer, and an admin can approve going over their credit limit if needed.

You can take a partial payment in one method, tap “Add part”, then pay the remainder in another method — useful when a table splits payment by cash + card.

4.6Splitting a bill

Tap “Split” on an unpaid bill. Choose:

  • Equally — pick how many ways (2–20) to divide the total.
  • By items — tap each line to assign it to person 1, 2, 3…

Then “Split into N” creates separate bills that are each paid individually.

4.7Sending or printing a receipt

Once paid: “Print” sends to your receipt printer, “Browser print” opens a printable page in a new tab (useful if no thermal printer is set up), and “Send” opens a dialog to email the receipt and/or send it over WhatsApp to a typed number.

4.8Refunds

Admins only. Open a payment on a paid bill and use the refund icon; a reason (3+ characters) is required and recorded in the audit log.

4.9Cash in/out and closing your shift

The “Shift” button (top-right) opens a summary: opening cash, totals per payment method, and cash movements. From there:

  • “Cash in / out” — record money added to or removed from the drawer (petty cash, change float top-up, supplier payment, etc.), with preset reason chips or a custom one.
  • “Close shift” — count your drawer either as a total, or note-by-note (NPR 1000/500/100/50/20/10/5/2/1), and RPOS shows the expected amount, what you counted, and any difference, before “Close shift and print”.

RPOS User Manual

Admin portal

Admin role only — accessed via the “Admin” tab. The sidebar down the left covers everything below.

5.1Dashboard / Reports

The landing page under Admin. Pick a date range (Today / Yesterday / This week / This month / Custom) and see total sales, bill count, average bill, sales by hour and by day, top-selling items and categories, payment method breakdown, waiter performance, voided items, and credit given/collected for that period. Each report table has a CSV download button for your own records or your accountant.

5.3Tables

Add a section (e.g. “Ground floor”, “Rooftop”), then bulk-add tables to it: pick the section, how many tables, and a name prefix (e.g. “T” → T1, T2, T3…) — it automatically continues numbering after whatever's already there. Delete individual tables or a whole section from here too.

5.4Staff

Add staff with a name, role (Admin/Cashier/Waiter/Kitchen) and a 4-digit PIN; picking the Admin role also asks for an email and password for the admin login screen. From the staff list you can change anyone's role, reset their PIN (“New PIN” button), or deactivate them (logs them out and blocks login — toggle back on to reactivate).

5.5Customers & credit

Add customers with a name, phone, optional email, and a credit limit (0 = no credit allowed). The list shows who owes what; click anyone to open their ledger — a running history of credit sales and payments, with buttons to record a payment, or send a statement/reminder by email or WhatsApp, or download a PDF statement. “Send monthly statements” at the top sends them to everyone with a balance in one go.

5.6Messages

Every email and WhatsApp message RPOS has queued (bills, statements, reminders) — filter by Waiting / Sent / Failed. Failed messages (e.g. the internet was down) can be retried with one tap; they also retry automatically once connectivity is back.

5.7Audit log

A record of sensitive actions — voided items, discounts, refunds, reprints, table transfers/merges, shift closes, staff deactivation, credit overrides — who did it, when, and why (if a reason was required). Filterable by action type.

5.8Printers

Lists recent print jobs (kitchen tickets, bills) with their status, and lets you send a test page to a printer address to confirm it's reachable.

Which printer each station actually uses is set in Settings → Printers, not here — this page is for monitoring and testing.

5.9Settings

  • Restaurant — name as it appears on bills, PAN/VAT number, address, phone, the footer line printed on every receipt, and your logo.
  • Tax and bills — VAT %, service charge % (with an on/off switch), rounding (to the nearest rupee, or none), the discount percentage above which a reason is required, and your fiscal year start date.
  • Printers — the actual network address (e.g. tcp://192.168.1.50:9100) for your Kitchen printer, Bar printer, and cashier's Bill printer. Leave any blank if you don't have one.
  • Kitchen screen — how many minutes before a ticket turns amber, then red, on the Kitchen display.

5.10Your profile

Your own account: name, email, a button to change your 4-digit PIN, a button to change your admin password, and a read-only summary of your restaurant (name, logo, address/phone) with a link back to Settings to edit those.

RPOS User Manual

First-time setup wizard

6.1The six steps

The first time you (as Admin) log in, RPOS walks you through six steps before sending you to the Floor: Restaurant → Tax → Tables → Menu → Staff → Printers. Every step can be skipped and finished later from the Admin sidebar — nothing here is a one-time-only choice. “Menu” in the wizard is the same spreadsheet import described in 5.2; it's just surfaced early so you can get your menu in fast.

Troubleshooting & FAQ

7.1Common questions

The connection dot is red / stuck on “Connecting…”

Check the device's own Wi-Fi/data connection first. If that's fine, the restaurant's server may be unreachable — try reloading, and if it persists, contact whoever manages your RPOS hosting.

I forgot my PIN / an admin's password

Another Admin can reset your PIN from Staff → “New PIN”. A forgotten admin password needs to be reset from that admin's own Profile page (requires being logged in) or by another admin resetting it from Staff.

An item I just priced/updated doesn't show the new price on an open order

That's expected — existing open orders keep the price they were started with; only new orders use the updated price.

A waiter added items while offline and they seem to have vanished

They haven't — they're queued locally on that device and will sync automatically once it's back online. Don't force-close the browser tab/app on that device until the “Saved offline” banner clears.

Two staff opened the same table at once while offline

RPOS resolves this automatically in most cases. If you see a message about re-adding items by hand, it means both devices had already added different items before reconnecting — just re-enter them once.

A print job failed

Check Admin → Printers that the printer's address is correct and it's powered on/on the network, then use “Retry” on that job from Admin → Printers (or it will retry automatically on its own schedule).

RPOS User Manual

Appendix: for the platform operator

This section is for whoever runs the RPOS platform itself across multiple restaurants — not for restaurant staff.

8.1The operator (superadmin) portal

  • The operator portal lives at the bare domain's /superadmin address (e.g. https://pos.buildersoft.ca/superadmin/login), separate from any restaurant's login.
  • From there you can see every restaurant on the platform, create a new one (name, slug/web address, and its first admin's name/email/password), and open any restaurant to toggle it active/inactive, enable or disable specific features for it (customer credit, kitchen display, notifications), set its brand colour and logo, and view its generated web address.
  • A newly created restaurant's first admin logs in at https://pos.buildersoft.ca/<their-slug>/login using the email/password you set for them, and will see the first-time setup wizard (section 6) on first login.
