TaskFlow User Manual

Core concepts

1.1The five concepts everything else builds on

ConceptWhat it means
Organization (workspace)Your company/team's private space. Every project, task, member and integration belongs to exactly one organization. You can only see and work inside your own.
RoleWhat you're allowed to do: Developer, Manager, Admin, or (platform-wide) Master.
ProjectA body of work with a short key (e.g. WEB). Tasks are numbered WEB-1, WEB-2, … inside it.
SprintA time-boxed slice of a project's work. A project can have any number of planned and finished sprints, but only one active sprint at a time. A task with no sprint sits in the backlog.
TaskThe unit of work. Has a type, status, priority, optional story points and deadline, an assignee, comments and attachments.

Getting started

2.1Option A — Request a new workspace

  1. 01Go to Register from the sign-in page.
  2. 02Fill in your organization name, what you'll use TaskFlow for (optional, helps approval), and your own account details (name, email, password, optional Discord user ID for @mention notifications).
  3. 03Submit. Your request is now pending — the platform owner reviews every new workspace before it can sign in.
  4. 04Once approved, sign in with the email and password you registered. You become that organization's first Admin and can invite your team from Settings.

If your request is rejected or your organization is later suspended, signing in will tell you so explicitly rather than silently failing.

2.2Option B — Accept an invite

If a teammate invited you, you'll have a join link (/join/<token>). Opening it shows your email and the role you're being given; fill in your name and a password to finish creating your account. Invite links expire after 7 days and only work once.

2.3Signing in

Use your email and password on the Login page. A few things to know:

  • Passwords must be at least 10 characters.
  • Repeated failed sign-in attempts are rate-limited — after too many tries (per account and per network address) you'll be asked to wait a few minutes before trying again. This is a security measure, not a bug.
  • If your account has been deactivated, or your organization is pending/suspended/rejected, the sign-in page will tell you specifically why instead of a generic error.

Dashboard

4.1What's on your home screen

  • A greeting banner with your organization's overall completion percentage and a shortcut to My Tasks.
  • Four headline numbers: total tasks, pending, in progress, and completed (with a call-out if anything is overdue or high-priority and still open).
  • Active sprints across all your projects, with a progress bar.
  • A Projects list with per-project completion.
  • Recently updated tasks, organization-wide.
  • A Pipeline panel: how many tasks sit in each status column, a breakdown by type, and your personal load (open vs. assigned).

Projects

5.1Creating a project

Go to Projects to see every project (managers and admins can also include archived ones). Creating one (Manager role or higher) needs:

  • Name and a short Key (1–6 letters/numbers, e.g. WEB) — suggested automatically from the name, editable before saving, and fixed afterward. Every task is numbered KEY-1, KEY-2, …
  • An optional description.
  • A colour used throughout the UI to tag the project at a glance.
  • An optional project lead (any manager or admin in the organization).

5.2Archiving a project

Archiving a project (Admin role to delete, Manager+ to archive) hides it from the active list and blocks new tasks, but keeps its history; it can be restored later.

5.3Opening a project

Opening a project takes you to its board by default, with a list view toggle for the same filterable table used on the All Tasks page, scoped to that project.

TaskFlow User Manual

Sprints & Backlog

Planning is for Manager role or higher; everyone else can still view it and open/edit their own tasks.

6.1Drag-and-drop basics

From a project, open Backlog to plan work. Each open sprint (planned or the one active sprint) and the Backlog are drop zones. Drag task rows between them, or reorder within one — order is saved as you drop.

Filtering the backlog by title/ticket pauses drag-and-drop until you clear the filter.

6.2Creating and starting a sprint

  • New sprint: name (defaults to “Sprint N”), an optional goal, and optional start/end dates (default to a 14-day window from today; starting a sprint without dates fills them in automatically).
  • Start sprint: only one sprint per project can be active at a time; you must complete the running one first.

6.3Completing a sprint

Complete sprint shows how many tasks finished vs. are still open, and lets you choose where unfinished tasks go — back to the Backlog or into a specific planned sprint. Finished tasks stay recorded against the completed sprint.

6.4Completed sprint history

Completed sprints collapse into a history list at the bottom, each with its final done/total and points tally, and a link to view its tasks in the list view.

TaskFlow User Manual

The task board (Kanban)

7.1Columns and scope switcher

The board shows four columns — To Do → In Progress → Code Review → Done — for one project. A scope switcher lets you view the active sprint by default (keeps the board light even with thousands of tasks), or pick a specific planned sprint, Backlog only, or All tasks.

7.2Moving and opening cards

  • Drag a card to another column to change its status. You can only drag/edit cards assigned to you unless you're a Manager or above, who can move/edit anything.
  • Double-click a card to open the edit form. Single-click the ticket number or title to open the full task page.
  • Each card shows its type, ticket number, import source badge (if imported), priority, story points, due-date status, comment/attachment counts, and last-updated time.
  • New task and Import buttons (Manager role or higher) sit in the toolbar; deleting a task also requires Manager or above.

7.3Filtering the board

Filter the board by search text, assignee, and type without leaving the page.

Working with a task

8.1Task fields

Open any task (click its title or ticket number) to see the full detail page.

FieldNotes
TypeTask, User Story, Bug, Epic, Improvement, or Spike — drives the icon shown everywhere.
Title / DescriptionRequired. Description supports up to 2000 characters.
AssigneeOnly Managers/Admins can change who a task is assigned to.
PriorityLow, Medium, High.
SprintOnly visible to Managers+; choose a specific open sprint or leave it in the Backlog.
Story pointsOptional estimate; quick-pick buttons for the common values (1, 2, 3, 5, 8, 13, 21) or type any number up to 100.
DeadlineOptional date. Chat/notification channels get a heads-up a few days before it's due, and again if it's missed.
StatusEditable directly on the edit form once a task exists.

Press ⌘/Ctrl + Enter while the form is focused to save without reaching for the mouse.

8.2Comments

  • Anyone in the organization can comment on any task.
  • Type @ to open an autocomplete list of teammates — picking one notifies them wherever your organization has notifications wired up (Discord/Slack/Teams, by Discord ID if they've linked one).
  • Drag-and-drop, paste, or use the Attach button to add files/images directly to a comment (up to 10 files per message).
  • You can edit or delete your own comments; Managers and above can delete anyone's.
  • A direct link to a specific comment (e.g. shared from a notification) scrolls to and highlights it.

8.3Attachments

  • Images, PDFs, Office documents, text/CSV/JSON, zip archives, and common audio/video formats are accepted, up to 10MB per file and 10 files per upload.
  • Images get an inline thumbnail and open in a lightbox; other files show as a download chip.
  • You can remove your own uploads; Managers and above can remove anyone's.

TaskFlow User Manual

My Tasks

9.1Your focused queue

A focused, non-tabular view of everything assigned to you, split into Open (sorted by priority) and Completed. Each row lets you change the assignee (if you can assign tasks), edit, open the full page, or change status inline — without leaving the page. A Table view link jumps to the same data in the full filterable All Tasks table.

TaskFlow User Manual

All Tasks (search, filter, export)

10.1Filters & search

The Tasks page is an organization-wide, sortable, paginated table. Every control updates the URL, so a filtered/sorted view is shareable or bookmarkable. Filters available: free-text search, project, type, status, priority, assignee (including “Assigned to me” / “Unassigned”), sprint (a specific one, “Active sprints”, or “Backlog”), and a deadline filter (overdue, due today, due in 7 days, or no deadline).

Search matches whole words (and close variants) in the title, ticket number, and description — it won't match a bare fragment the way a plain substring search would (e.g. typing “log” won't surface a task titled “Login page”). Search for the full word, or use the other filters to narrow things down.

10.2Table controls

  • Click a column header to sort by it (updated, created, due date, priority, status, title, or manual rank).
  • Choose rows-per-page (10/25/50/100).
  • Export CSV or Export Excel downloads exactly what's currently filtered (capped at 5,000 rows).

TaskFlow User Manual

Importing tasks

Available to Managers and above, from a project's board (Import button).

11.1Choosing a source

  • Excel / CSV — any spreadsheet with a header row; columns for title, description, status, priority and assignee are auto-detected.
  • Jira (CSV export) or Azure Boards (CSV export) — export your issues/work items and upload the file. Issue keys/work item IDs are preserved, so re-importing the same file updates existing tasks instead of duplicating them.
  • Jira Cloud (live) or Azure DevOps (live) — connect directly with an API token/JQL filter or a Personal Access Token; nothing you enter is stored after the import finishes.

11.2The four-step wizard

  1. 01Choose a source (above).
  2. 02Load — upload the file or fetch live data.
  3. 03Preview & map — review every row, adjust the column-to-field mapping if auto-detection got something wrong, override individual rows' type/status/priority/assignee, exclude rows you don't want, and optionally send everything straight into a specific open sprint. Rows with a problem (e.g. an assignee that couldn't be matched) are flagged.
  4. 04Import — commits the ready rows. You'll see how many were created, updated, and skipped.

Imports are capped at 1,000 rows per run. Large imports only notify your chat channels with a single summary (per-task pings stop after the first 25) so a big import can't flood a channel.

TaskFlow User Manual

Team chat

12.1Direct messages & groups

The Chat page (not available to the platform owner) is a real-time messenger scoped to your organization's members.

  • Direct message: pick one teammate from the New Chat dialog.
  • Group: name it and pick multiple people (up to 50 members per group); add more people later from an open group with Add people.
  • Messages support images (up to 5 per message) and plain text (up to 4000 characters).
  • A banner appears if the chat connection drops; messages you send while reconnecting are sent automatically once you're back online.

TaskFlow User Manual

Notifications (Discord / Slack / Teams)

13.1Setting up a webhook

From Settings → Integrations, connect an outgoing webhook to post task activity into a chat channel.

  1. 01Create an incoming webhook in Discord, Slack, or Teams (each provider's menu shows the exact steps and an example URL format).
  2. 02In TaskFlow, Add webhook: give it a name, pick the provider, paste the URL, choose whether it applies to all projects or just one, and tick which events it should fire on.
  3. 03Use Test to send a sample message before relying on it.

13.2Events you can subscribe to

Task created, task reassigned, status changed, task deleted, file attached, tasks imported (batch summary), comment posted, someone @mentioned, a deadline approaching (3 days out), and a deadline missed. Webhooks missing a common event are flagged on the list so you notice gaps.

13.3Delivery & reliability

Webhook URLs are encrypted at rest. You can pause a webhook without deleting it, and the Recent deliveries log shows every attempt with its status and any error, so you can diagnose a misconfigured channel.

Deadline reminders (due-soon/overdue) are sent automatically once a day by a background job — no action needed beyond setting a task's deadline and wiring up a webhook for those events.

Settings

Admin role required to change anything; some pages are informational for everyone.

14.1General, Members, and Integrations

  • General — organization name (the slug is generated once at sign-up and can't be changed) and headline stats (members/projects/tasks).
  • Members — invite new teammates (Invite member: pick an email and a role — Developer, Manager, or Admin — and TaskFlow generates a private join link valid for 7 days; no email is sent automatically, so share the link yourself), change anyone's role, deactivate a member (signs them out and unassigns their open tasks) or reactivate them, and revoke a pending invitation before it's used.
  • Integrations — the webhooks described in section 13.

TaskFlow User Manual

Your account

15.1Profile & password

From Account, every signed-in user can:

  • Update their display name and optional Discord user ID (lets @mentions and notifications reach you on Discord).
  • Change password — requires your current password and a new one of at least 10 characters, entered twice to confirm.

TaskFlow User Manual

Admin console (platform owner)

For the Master account — the platform owner, not a member of any single organization.

16.1Approving, suspending, and stepping in

The admin console shows platform-wide stats (pending requests, organizations, users, projects/tasks) and a full organization list, pending requests first. From there the Master can:

  • Approve or reject a pending workspace request.
  • Suspend an active organization (locks out every member until reactivated) or restore it.
  • Open any organization to look around inside it, using the organization switcher in the navbar.

Tips & shortcuts

18.1Speed things up

  • ⌘/Ctrl + Enter submits the task form and posts a comment without clicking the button.
  • Double-click a Kanban card to edit it; single-click the title/ticket to open the full page.
  • Drag-and-drop works on both the Kanban board (change status) and the Backlog (plan sprints) — it's disabled while a text filter is active, since the item order would be ambiguous.
  • Every filter on the Tasks table lives in the URL, so you can bookmark or share a specific filtered view.
  • Paste or drag an image straight into a comment box to attach it — no need to click “Attach” first.

Troubleshooting

19.1Common problems

“Your workspace is waiting for approval”

Your organization hasn't been approved by the platform owner yet.

“Your organization is suspended” / “Your workspace request was not approved”

Contact the platform owner/your admin.

“This account has been deactivated”

An admin deactivated your account — ask them to reactivate it.

“Too many attempts, please wait”

Sign-in is rate-limited after repeated failed attempts; wait a few minutes.

“This invitation link is invalid / has expired”

Invite links last 7 days and work once — ask for a new one.

Can't see the Sprint field on a task

Only Managers and above can plan sprints; developers see everything else.

Can't drag a card on the board/backlog

You can only move tasks assigned to you unless you're a Manager or above; drag is also paused while a search filter is active.

A search doesn't find a task you know exists

Search matches whole words, not arbitrary substrings — try the full word, or use the type/status/assignee filters instead.

A webhook isn't posting

Check Settings → Integrations → Recent deliveries for the specific error, confirm the webhook isn't paused, and use Test to verify the URL still works.
